Orders, fulfilment, packing slips and invoices
When an order comes in
A new order shows on your Orders list and, if you have order email switched on, lands in your inbox. Card orders arrive already paid; on-account, EFT and pay-on-delivery orders arrive pending until you mark them paid by hand.
Fulfilling an order
Open the order to see the customer's details, delivery choice and line items. From there you can:
- Print a packing slip (no prices, just what to pack).
- Print a bulk picking list across several orders at once.
- Add a tracking number and courier link, which the customer sees on their order tracking page and in their "order fulfilled" email.
- Mark the order fulfilled.
Creating an order yourself
Under Orders, "New order" lets you ring up a sale from the dashboard: catalogue items at catalogue prices, a custom line at a price you type (handy for services), and an optional delivery fee. You can take payment there and then or send the customer a pay-by-link.
Invoices
Every paid order can be printed as a proper tax invoice (with a sequential invoice number and, if you've added your VAT number under Settings, VAT worked out for you). Invoice numbers are only handed out the first time someone actually opens the invoice, so the sequence never has gaps from orders nobody printed.
Refunds
Refunding an order records the refund and, if you choose, puts the returned items back in stock. Storeforge never touches the money itself: you refund the customer in your own Yoco or PayGate app, and record it here so your books and reports stay accurate.
If part of the order was paid with a gift card, the order page has a Gift card part form that puts that amount back on the card. See Gift cards.
Collection orders
If the customer chose a Collect from us delivery option, a paid order shows a Ready for collection button. Press it and the customer is emailed once, with your pickup address and instructions. See Delivery.
Abandoned checkouts
Orders, Abandoned checkouts lists shoppers who typed their email at checkout and left without ordering: their email, what was in the cart, its value, and a status. Waiting has not been emailed yet, Emailed has had its one reminder, Recovered ordered after the reminder, Ordered placed an order before any reminder went out, and Unsubscribed will not be emailed. The top of the page counts recovered orders and recovered sales.
A Send recovery email now button on a Waiting row sends it straight away, without waiting for the delay. How the automatic emails work, and how to switch them off, is under Marketing.
Worth knowing: the button still keeps to the rules. A cart gets one email, an address that unsubscribed is never emailed, and the daily email limit still applies.
Sales report and profit
Analytics, Sales report shows paid orders by the month they were paid, after refunds, with a date range you can change and an Export CSV for your bookkeeper. If you saved a VAT number under Settings, VAT is worked out too.
Below it, Profit shows gross sales, discounts, net sales, cost of goods, gross profit and margin, by month, with your top products by profit and an Export profit CSV. Discounts are spread over the order's lines, refunds come off in proportion, and goods you put back on the shelf are not counted as cost.
Worth knowing: profit is only worked out on order lines that have a cost. Lines sold with no cost set are counted separately, in a list at the bottom, and left out of profit and margin. Set a cost on the product (see Products) and every new order includes it. Owners and managers can open these reports.
Pay-by-link and reorder
Every order gets a pay-by-link (for on-account orders you still want paid by card) and a reorder link (for paid orders) that you can copy or send by WhatsApp straight from the order page.
