Booking a courier

Book an Aramex waybill straight from an order instead of on Aramex's site. The waybill number is saved on the order, the customer gets the tracking email, and you download the label to stick on the parcel. No copying numbers between sites.

Your own Aramex account

Bookings go through your own Aramex South Africa account, the same way card payments go through your own Yoco account. Aramex bills you for each parcel at your account's prices, exactly as if you had booked on their site. ForgeLab never pays for parcels and never sees that money.

You need an Aramex account first. If you don't have one, open one with Aramex South Africa.

Setting it up

Go to Settings > Courier (only the shop owner can open it) and fill in:

  • Your Aramex login email and password, the ones you use on aramex.co.za, and your Aramex account number from your Aramex invoice. They are saved encrypted and never shown back to you.
  • The address Aramex collects from, with a contact person and number. If it isn't the address on your Aramex account, tick This isn't the address on my Aramex account.
  • Your usual service (Overnight, Economy, Road Express and so on), and a parcel weight and box size to use when an order has no weight.

Tick Book Aramex from my orders and save.

Test mode

Test mode is on until you switch it off. Aramex has no practice system, so in test mode nothing is sent to Aramex: you get a made-up price, a waybill that starts with TEST and a label marked not valid. The order isn't changed and the customer isn't emailed. Use it to see how it works, then untick Test mode: nothing is sent to Aramex to book real parcels. Real bookings also need the shop owner's email address confirmed.

Booking one order

Open the order and press Book Aramex. You see Aramex's price for that parcel before anything is booked. Change the service, weight or box size if you need to and press Get the price again.

When the price is right, press Book and pay. The button shows the amount and asks you to confirm. Then:

  • the waybill number and Aramex's tracking link are saved on the order,
  • the order is marked fulfilled and the customer is emailed that it's on the way, with the tracking link,
  • the label is ready under Download label on the order.

An order that was already fulfilled stays fulfilled and the customer is emailed the new tracking link.

The order needs a street address, suburb, postal code and phone number, because Aramex needs them to deliver. If one is missing the order page says which, and you can fix it under Edit the order. Orders being collected from you can't be booked.

Booking several orders at once

On Orders, tick the orders and press Book Aramex for ticked orders. You see each order's price and the total. Orders that can't be booked say why and are left out. Press the book button to book them all, then Download all labels to print every label in one file. Up to 25 orders go in one batch.

Labels and collection

Labels are kept on the order, so you can download one again any time. Book Aramex's collection as you do now; booking a waybill doesn't book a pickup.

Cancelling

Aramex doesn't let other systems cancel a waybill. Cancel it with Aramex, then press Remove booking on the order. After that you can book the order again. The tracking saved on the order stays until you change it.

Limits that protect you

Each shop can make a set number of real bookings a day (50 unless you change Most real bookings in one day). It stops a mistake, like a double click or a stuck page, from booking more parcels than you meant to. An order can only have one booking at a time, so pressing the button twice books once.

Staff need money access to book, because a booking costs money on your Aramex account. See Account for staff access, and Orders for fulfilling and tracking.
